F&B Office Coordinator

Hotel Okura Amsterdam is looking for a F&B Office Coordinator for the F&B office.

The F&B Office is responsible for the administrative support and handling of all reservations of our five restaurants, of which three are awarded a Michelin star.

Our F&B Office consists of one F&B Director, two Assistant F&B Directors, one Restaurant Reservations Supervisor and four F&B Office Coordinators.

As F&B Office Coordinator you are responsible for handling all reservations for our restaurants. You are coordinating all restaurant sales, this includes providing information and the follow-up of individual and group reservations. As an F&B Office Coordinator you are the contact person between the Restaurant Managers and/or Executive Chefs and the guests/clients. You are responsible for your own assigned outlets, including the processing of its menu changes.

Tasks and responsibilities

  • Provide all kinds of food and beverage related information to guests in person, by phone, by mail. Conduct (F&B-related) sight inspections if desired.
  • Placing individual and group reservations for the restaurants, bars and cookery studio and do all follow-ups
  • Sending out personalized proposals/confirmations
  • Production of food and beverage function sheets, to provide all involved departments with event details.
  • Distribute internal F&B related information to all departments
  • Handling requests related to purchasing Okura gift vouchers
  • Handling requests related to purchasing of cook books from the restaurants
  • Upselling within F&B (f.e. birthday cakes, flowers, etc.) and cross-selling (f.e. hotel rooms).
  • Conducting aftersales/evaluating guest experiences with contact persons, to further improve service and increase returning business
  • Attend daily F&B briefing, take minutes during monthly F&B meetings
  • Being aware of (cancellation) policies and procedures
  • Direct guest contact by phone, email and in person
  • Administrative and informative tasks
  • Building good relationships with colleagues from other departments (e.g. Room Reservations, Accounting, Conference & Events, Sales, Front Office) as communication is essential
  • Following Okura and LHW standards

Profile - Who are you?

Experience with the reservation programme ResV5 is an advantage

You are in possession of a diploma from the Middelbare Hotelshool or a similar education ▪ You have a commercial work attitude and excellent telephone skills ▪ Relevant knowledge of Word and Excel

Fluent in both Dutch and English (verbal and written)
