Japanese HR Coordinator

The HR department of Hotel Okura Amsterdam is looking for a fulltime and hands on Japanese HR coordinator.  The HR department consists of 6 professionals: the Director of Human Resources, two Assistant Directors of HR, a Trainings Manager, a HR & Salary Administrator and a Japanese HR Coordinator. We are looking for a second Japanese HR coordinator. 

The HR team is responsible for all the HR related activities for all 380 employees and they are the HR Business Partner for Department Heads and MT members. Working within HR means working in a very dynamic working environment and of course we do appreciate a bit of fun every day as well!

In the position of Japanese HR coordinator you report to the Director of Human Resources, and you work closely together with your colleague Japanese HR Coordinator and the rest of the HR department. In this position you are the HR business partner for the managers of the Japanese kitchens and a contact person for the Japanese staff. Your daily tasks and responsibilities include:

Tasks and responsibilities

  • (Japanese) Recruitment activities for our Japanese kitchens throughout the year and coordinate the annual recruitment activities in Japan;
  • Set-up of employment contracts and other HR related correspondence in Japanese;
  • Responsible for the administration of work- and residence permits;
  • Onboarding, off boarding and promotions of (Japanese) employees.
  • Make arrangements for the arrival or departure of Japanese team members, such as flight reservations, shipment of their personal belongings, dormitory arrangements and in some cases pick up from/drop off at the airport;
  • Taking care of all other Japanese staff related arrangements such as municipality registration, open bank account opening, registration at the Japanese embassy, health insurance registration;
  • Conducting of Japanese New Hire Orientation training during the introduction program;
  • Responsible for staff housing related matters such as utility invoices, (small) maintenance issues, monitoring all activities, communication with residents, attending the monthly dormitory meeting;
  • Assisting with all other general HR tasks where needed;
  • Participating in HR projects such as the annual jubilee reception or the annual employee satisfaction survey;
  • Liaising between Japanese colleagues and other employees and external parties.

Profile - Who are you?

Experience
Minimum of 2 years relevant working experience ▪ Minimum of MBO-4 level of working and thinking

Profile 
Hands on!  ▪ Communicative, driven, organized, taking initiative, critical  ▪ Flexible in working hours and you consider it a challenge to work in a dynamic environment  ▪ Able to deal with different interests ▪ Able to make the connection between Japanse and European cultures ▪ Good knowledge of MS Office with the focus on Outlook, Word and Excel ▪ Good knowledge of relevant Dutch laws and regulations ▪ Knowledge and experience with the Horeca CAO/AVR is a pre  ▪  Fulltime available (38 hours a week) ▪ In possession of a Dutch driving license B

Language
Excellent control of both the Dutch, Japanese and English languages, both written and oral
